Scheduling Director
Manchester Living has been in business since 2009. In that time, we have made a name for ourselves providing compassionate services for seniors, persons with degenerative diseases, and individuals undergoing post-operative care. Within the Manchester Living family there are two independent operations. They include Cambridge Caregivers which offers Personal Assistant Services (Private in-home care) and Manchester Care Homes which operates four boutique, eight-resident Assisted Living properties. Manchester Living is owned and operated out of Dallas, Texas with recent expansions into Fort Worth, San Antonio, and plans to grow beyond.
The Scheduling Director plays a critical role in supporting the success of both Cambridge Caregivers and Manchester Care Homes. They must manage the Scheduling Managers and coordinate with Quality Assurance, Community Liaisons, and HR to ensure effective communication and seamless scheduling across the organization. The scheduler has a direct impact on client satisfaction, employee satisfaction, and business profitability.
The ideal candidate will possess excellent customer service skills, experience with staff management, and the ability to schedule and manage our 24/7 services as part of our scheduling team. The successful candidate will be responsible for quality service delivery to our clients for their home care needs, while effectively supporting, supervising, scheduling, and directing our staff.
Responsibilities
- Hire, coach, review and manage a team of Schedulers
- Implement processes that optimize the Scheduling experience
- Evaluate and recommend tools to improve the Schedulers experience
- Ensure the best Scheduling experience for our clients
- Develop and execute KPI’s on the performance of the Scheduling team and a reduction in scheduling related service failures
- Position staff according to client needs and preferences as identified in their Individualized Service Plans
- Analyze weekly Gross Profit Reports to identify trends, loss leaders, and management of overtime
- Coordinate with the HR and Finance departments to ensure accuracy of payroll and client billing
- Ensure field staff follow internal policies and procedures and federal and state laws and regulations while on the job
- Orient new field staff on the WellSky system, how to sign up for shifts, and how best to communicate with office staff, clients in general, and engagement-specific communication
- Assume alternating on-call duties with the other member or members of the Scheduling Department
- Communicate scheduling and personnel changes to staff, Community Liaisons, and clients in a timely manner
Core Competencies and Qualifications
- 3+ years’ experience in one or more of the following: Home Health Administration, PAS Administration
- 2 + years’ experience managing a scheduling team
- At least a 2-year associates degree
- Experience with WellSky Scheduling Software
- Excellent communication and interpersonal skills, with the ability to work effectively with all levels of the organization
- Strong analytical and problem-solving skills, with the ability to think creatively on the spot and in high-stress situations
- Ability to maintain a calm and respectful demeanor with clients, employees, and corporate colleagues
- Ability to perform a variety of functions, multi-task, and pick up ad hoc projects or new skill sets as directed
- Demonstrate initiative, discretion, enthusiasm, and desire to retain excellent caregivers
- MS Office experience
Job Details
- This job is Full-Time.
- Flexible, In-Person.
This role is eligible for a hybrid work schedule after a successful first 90 days.
Must be located in the Dallas area or willing and able to commute to our corporate office at least three days per week.
Must also be willing and able to work from home on weekends and outside of regular business hours-Time.
